Terms of payment

ICELAND MOMENTS requires a 30% deposit of the total itinerary cost to confirm your booking.

When the booking is made less than six (6) weeks before the beginning of the program, the total amount has to be paid in full.

Payment for your experience can be made by credit card (Visa or MasterCard) or bank transfer.
Where payment is made by bank transfer in a foreign currency (EUR, GBP or USD), each payment (if there are multiple payments) is subject to the exchange rate provided by ICELAND MOMENTS on the issuing date of the invoice.

Please note that our payment terms may differ from what is stated above and is dependent on the itinerary and on our suppliers’ payment policies. You will be informed clearly before booking confirmation.

Cancellations from the client

You or any member of your party may cancel your booking at any time providing that the cancellation is made in writing to ICELAND MOMENTS . You will receive a prompt refund of the amount paid (excluding any amendment charge if there are any) less the cancellation fees specified below: 

  • 5 weeks or more ahead of your set arrival date, 30% of the total trip amount will become credit towards a similar trip within 12 months of cancellation. The remaining 70% will be refunded.

  • 4 weeks or more ahead of your set arrival date, 50% of the total trip amount will become credit towards a similar trip within 12 months of cancellation. The Remaining 50% will be refunded.

  • Less then 4 weeks ahead of your arrival date. No credit or refund can be performed. However in case of family emergency or unexpected scenarios Iceland Moments will do it´s very best to redeem any cancellation cost from our partner hotels and activity operators and get as much credit as possible for a future trip, however nothing can be promised here.

Cancellation of one or more passengers within a group may cause a price increase for the group or a cancellation fee as detailed above.

We strongly recommend that all our clients take out comprehensive travel insurance. If the reason for your cancellation is covered under the terms of your insurance policy, you may be able to reclaim some or all of the cancellation charges.

Group bookings terms & conditions

1. Definition of a Group Booking

A group booking is defined as:

  • 10 or more participants, and/or

  • 5 or more hotel rooms booked together under one reservation.

2. Confirmation & Rooming Lists

  • A preliminary name list (first and last names) must be provided no later than 12 weeks prior to tour start.

  • A final name list must be provided no later than 8 weeks prior to arrival.

  • Rooms without assigned names (“no-name rooms”) may be held after booking confirmation subject to individual hotel cancellation policies. Any approval to hold no-name rooms will be confirmed in writing.

  • Any rooms not named by the final deadline may be released without notice.

  • Failure to submit the required name lists within the stated timeframes may result in cancellation of rooms and/or services, and applicable cancellation fees may apply.

3. Payments

  • A 30% deposit of the total itinerary cost is required to confirm a group booking 10 weeks prior.

  • When a booking is made less than 8 weeks prior to the start of the program, full payment is required at the time of confirmation.

  • Specific payment schedules for group bookings will be outlined at confirmation and must be adhered to in full.

  • Payments can be made by credit card (Visa or MasterCard) or bank transfer.

  • For bank transfers in foreign currencies (EUR, GBP, or USD), the exchange rate issued by Iceland Moments on the invoice date will apply to each payment.

4. Credits & Refunds (Where Applicable)

Where refunds or credits are permitted under the cancellation policy:

10 weeks or more prior to arrival:

  • 70% refunded

  • 30% issued as credit toward a similar trip within 12 months

9 to 6 weeks prior to arrival:

  • 50% refunded

  • 50% issued as credit toward a similar trip within 12 months

6 to 2 weeks prior to arrival:

  • 30% refunded 

  • 70% issued as credit toward a similar trip within 12 months

Less than 2 weeks prior to arrival:

  • No refund or credit

In cases of family emergency or other unforeseen circumstances, Iceland Moments will make every reasonable effort to recover costs from partner hotels and activity providers and apply any recoverable amount as a credit for a future trip. However, this cannot be guaranteed.

Partial Cancellations

  • Cancellation of one or more passengers within a group may result in a price increase for the remaining participants and/or cancellation fees as outlined above.  Each case will be reviewed individually.

We strongly recommend that all our clients take out comprehensive travel insurance. If the reason for your cancellation is covered under the terms of your insurance policy, you may be able to reclaim some or all of the cancellation charges.

5. Changes to Bookings

  • All changes are subject to availability and may incur additional costs.

  • Name changes requested after the final rooming list deadline cannot be guaranteed.

6. Travel Insurance

We strongly recommend that all clients purchase comprehensive travel insurance. If your reason for cancellation is covered by your policy, you may be able to reclaim some or all cancellation charges directly from your insurer.

7. Weather & Force Majeure

Tours and services in Iceland are highly dependent on weather and road conditions.

Iceland Moments reserves the right to modify itineraries, change accommodations, delay, or cancel services due to weather conditions, natural events, road closures, or other circumstances beyond our control (Force Majeure).

  • Where possible, reasonable alternatives will be offered.

  • If an alternative cannot be arranged, a partial refund will be issued based solely on the cost of the affected service, not a fixed percentage of the total tour.

  • Iceland Moments will contact the client directly in such cases.

8. Supplier Terms

Accommodation providers, transport companies, and activity operators may impose additional group-specific conditions. Where applicable, these terms will apply in conjunction with the present Group Booking Terms & Conditions

9. General Conditions

  • Iceland Moments reserves the right to cancel any group booking that does not comply with these terms.

  • By confirming a group booking, the client acknowledges and accepts all conditions outlined above.

Amendments by the client

We will do our best to assist you in amending your experience arrangements after booking, but cannot guarantee that this will be possible. You will be responsible for any charges (whether made by us or the suppliers of the various experience components) that result from such amendment.

Cancellations from Iceland Moments

ICELAND MOMENTS reserves the right to cancel any trip prior to departure for reasons that may include but are not restricted to unforeseen or unexpected equipment failure, adverse climatic conditions, road closures and other human or natural occurrences beyond ICELAND MOMENTS ’ control. 

Any trip cancelled by ICELAND MOMENTS as in the clause above will result in 100% of funds paid being refunded.

Amendments by Iceland Moments

Due to the nature of our holidays it may be necessary for us to make changes to your itinerary, which we reserve the right to do at any time. Most of these changes are minor and we will advise you at the earliest possible date of any changes.

In case of weather conditions Iceland Moments reserves it´s right to adjust your itinerary accordingly. Iceland Moments will inform you via email as soon possible, however with the dramatic weather changes of Iceland this can in some cases be within 24 hours.

Liability

In all arrangements involving third parties ICELAND MOMENTS act only as the agent of the Client and no liability of any kind whatsoever shall be attached to ICELAND MOMENTS in connection with or arising from such arrangement with a third party.
